What you will do  

  • Responsible for the efficient/smooth functioning of the office through a range of administrative and managerial tasks by coordinating with different teams and needs
  • Provide general support to visitors
  • Responsible for office operation; manage office G&A budget and be in charge of timely and accurate reporting
  • Interact with employees at every level and in every department
  • Liaise with providers of cleaning, catering and security services
  • Organize the office layout and responsible for stock management: purchase supplies and equipment, and maintain proper stock levels – stationary, IT Assets or project-related requests
  • Maintain the office condition and make sure that necessary repairs take place
  • Provide secretarial and administrative support
  • Responsible for e(mail) management
  • Support HR to maintain and update workplace policies as needed
  • Support the onboarding process of new hires
  • Organize internal events like celebrations and conferences

What you’ll bring  

  • 5+ years of experience working as (front) office manager, administrative assistant or a similar role
  • Good multitasker who knows how to prioritize tasks
  • Strong planning and skills in a fast-paced environment
  • Proficiency in MS Office
  • Proactive personality
  • Strong interpersonal skills
  • Verbal and written communication skills in English and Spanish; ability to communicate to the senior executive levels
